How to share resources with groups

Learn how to share assistants, flows, datasources, and conversations with groups.

Overview

Once you've created a group and added members, you can share resources with the entire group at once. All group members will receive the same level of access (Editor or Viewer) to the shared resource.

Sharing a resource (assistants, flows, datasources) with a group

  1. Open the resource you want to share

  2. Expand the Security & Permissions section

  3. Search for and select the group you want to share with

  4. Select the group's role:

    • Editor: Group members can modify the assistant

    • Viewer: Group members can use the assistant but cannot modify it

  5. Click Save

Sharing a conversation with a group

  1. Open the conversation you want to share

  2. Select the 'Share this conversation' icon in the conversation header

  3. Search for and select the group you want to share with

  4. Select the group's role:

    • Editor: Group members can modify the conversation

    • Viewer: Group members can view the conversation

  5. Click Save

Changing a group's role on a resource

  1. Open the resource (assistant, datasource, flow, or conversation)

  2. Navigate to the permissions section

  3. Find the group in the permissions list

  4. Click on the group's current role

  5. Select the new role (Editor or Viewer)

  6. Save changes

Removing a group's access to a resource

  1. Open the resource (assistant, datasource, flow, or conversation)

  2. Navigate to the permissions section

  3. Find the group in the permissions list

  4. Click the Remove button next to the group

  5. Save changes

All group members will lose access to this resource through the group (unless they have access through other means).

Understanding permission hierarchy

If a user has access to a resource through both individual permissions and group membership, the highest privilege role wins.

Example:

  • The Marketing group has Viewer access to an assistant

  • John is in the Marketing group

  • John also has individual Editor access to the same assistant

  • John will have Editor access (the higher privilege)
