When you build a datasource, you are usually adding your company's most important information: product documentation, sales materials, support articles, or policy files. Understanding the limits helps you plan how to structure your data so your agents can reliably access it without hitting a wall.

This article explains the file and size limits for datasources in elvex, what happens when you reach the file limit, and how to decide between uploading files directly or syncing them from a connected folder.

There is no separate limit on the total size of a datasource. For example, 100 PDFs with a combined size of 65 MB is well within the limits.

What happens when a datasource reaches 5,000 files

When a datasource reaches the 5,000 file limit, elvex skips new files from both uploads and connected folders. The owner of the datasource receives an email notifying them that the limit was reached.

To add new files after reaching the limit, you can:

  • Remove files you no longer need from the datasource.

  • Split your files across more than one datasource.

Choose between upload and sync

You can add files to a datasource in two ways: upload them directly, or sync them from a connected folder such as SharePoint, Google Drive, OneDrive, or Dropbox. The right choice depends on how your team works with the files.

The files do not change frequently.

The files change frequently, and you want elvex to stay up to date.

You have a small or medium set of files.

The files are already in a shared folder that your team uses.

You want full control of which files are in the datasource.

You want the permissions of the source folder to stay in one place.

Processing time

After you add files, elvex processes them before your agents can use them. Processing time depends on the number and size of the files and how busy the processing queue is. Each file and the datasource as a whole show a status so you can track progress.

Large PDFs (more than 10 MB) take longer to process than smaller files.

Common questions

Is there a total size limit for a datasource?

No. There is no separate limit on the total size of a datasource. The limits are per uploaded file (250 MB), per uploaded image (5 MB), and per datasource (5,000 files).

What happens if my datasource hits 5,000 files?

elvex skips any new files from uploads and connected folders, and the datasource owner receives an email. To add new files, remove files you no longer need or split the files into more than one datasource.

Why is my large PDF taking so long to process?

PDFs larger than 10 MB take longer to process. Processing time also depends on the total number and size of files in the queue.
